How to Run a Small AI Chatbot Pilot at Work

Choose one workflow and one reviewer

Start with a task whose result someone can check: a draft response, an internal summary or an explanation of an approved document. Name the reviewer and decide what must be correct before trying a chatbot. Avoid beginning with an automatic customer-facing workflow.

Prepare a small set of permitted examples. Remove unnecessary customer or staff details and check the account’s actual data settings. A consumer login, team workspace and API arrangement can have different permissions and terms; verify the route you will use.

Run a controlled trial

  1. Give the assistant a clear task, audience and output format.
  2. Supply the permitted reference material and identify its date.
  3. Ask it to distinguish supplied facts from missing information.
  4. Check names, figures and source passages yourself.
  5. Record corrections and have the reviewer approve the final output.

Keep the prompt and input so the team can repeat the test. If the answer depends on documents the assistant cannot access, improve the workflow rather than assuming it searched them.

Choose the relevant surface

ChatGPT and Claude provide conversational workspaces with feature and usage limits. A source-linked search tool such as Perplexity serves a different research step. Inspect the original pages even when an answer includes citations.

Use the current ChatGPT plan page and Claude plan page to confirm workspace features. Do not copy old model names or assume a free chat allowance includes an API or an enterprise deployment.

Decide whether to expand

Compare the quality of approved work, the corrections required and the actual account cost. Expand only when the team can repeat the workflow and knows who reviews it. For product selection, return to the chatbot or business category linked below.

Set a pass rule before the pilot

Pick a routine request such as drafting a reply from an approved policy. Give reviewers the policy and the draft, then record whether the reply is supported, whether it exposes anything sensitive, and what correction it needed.
